Who We Are

The WildHub community website is owned by WildTeam UK (WildTeam), registered charity in England and Wales number 1149465, whose registered office is at Surfside, Trelantis Estate, St Merryn, Cornwall, PL28 8NU, UK. WildTeam gives conservationists skills to design and deliver amazing conservation projects that help to save more wildlife. WildTeam is the controller of the personal information that is collected through the site or otherwise as set out below. Processing and retention of personal information is governed by the Data Protection Act 1998 and the General Data Protection Regulation 2018. If you would like more information, would like to change the way we communicate with you, or want us to amend or delete any personal data we may hold, please contact hello@wildhub.community. How we collect information about you

We receive, collect and store any information you enter on our website or provide us in any other way. Your personal information will only be used for the communications or activities that you authorise. We will always take all reasonable steps within our power to make sure your information is safe.

We may collect, store and use the following kinds of personal information:

  • Information that you provide  for the purpose of registering with the website (including your name, email address, job title, organisation name and country);

  • Information about your use of this website and interactions on WildHub (including what pages you visit and time and date of your visit), please see the section ‘Interacting on WildHub’ below for further details;

  • Information about interactions carried out over this website (including your comments and messages);

  • Information including documents and other other content you upload to the site;

  • Photographs, audio or video recordings;

  • Any other information that you provide on WildHub or send to WildTeam;

  • To respond to your enquiry;

  • To sign you up to our newsletter (see WildHub Newsletters section below) and manage your communication preferences;

  • When you use our social media pages;

  • If you contact us or become involved with us in any other way not listed above.

Using personal information

WildTeam may use your personal information to:

  • Administer this website;

  • Personalise the website for you;

  • Enable your access to and use of the website services;

  • Publish information about you on the website;

  • To provide you with services or information which you request (including putting you in contact with other members);

  • Monitor the usage and interactions on the website and to report on the results and impact of WildHub.

Examples of times your personal data may be generated by your activities are:

  • Your IP address logged when you visit WildHub’s website and/or sign up to our email newsletter; 

  • Our website uses local storage such as cookies and Google Analytics.

Other types of data, with your consent:

  • We may need to collect other sensitive personal data if you are attending one of our events, (for example, emergency contact, accessibility requirements etc.); 

  • To highlight our work, we may use images and videos of you taking part in our events;

  • To show the impact of our work, we would like to include everyone who registers for membership to appear on our member map. The information we would like to include on the map is your name, your expertise and where you are based (as filled in on the registration pages). With your permission, we can add other details to the map including a photo, a quote, and/or contact details if you would like;

  • Anonymous information and demographics may be used in any surveys we publish or in demonstrating our impact;

  • Please note we will never sell your data or share personal details with third parties so that they can market to you. Please do remember that this is a public forum; all our content, including content and comments in rooms (apart from private rooms), can be accessed and read without logging in, because we opted to be a community that shares information, tools and solutions more widely and for free. That content should also appear in Google search. 

Where WildTeam discloses your personal information to its agents or subcontractors for these purposes, the agent or sub-contractor in question will be obligated to use that personal information in accordance with the terms of this privacy policy. 

In addition to the disclosures reasonably necessary for the purposes identified elsewhere above, WildTeam may disclose your personal information to the extent that it is required to do so by law, in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend its legal rights.

If at any time you would like to change your preferences or withdraw your consent, please let us know. 

Interacting on WildHub

  • Member directory: When registering as a member on WildHub, the information you provide will be displayed on our searchable member directory by default, this information (e.g. name, organisation, country and areas of expertise) can be accessed and read by anyone visiting the WildHub website without logging in. This is to enable networking, collaborations, etc. You can edit the information shown by editing your profile. 

  • Notification preferences: You can manage newsletter, content, commenting, conversation, networking, Q&A, and admin notifications via your account settings. Please find an overview of the default settings in the Notifications emails and WildHub newsletter sections on this page. On occasion, we will also contact you about an event that you have signed up to participate in to provide you with the necessary information relating to the event. We may still need to communicate with you for administrative purposes even where you have opted-out of notifications from us.

  • Content visibility: Content, including all content and comments in rooms (apart from private rooms) can be accessed and read without logging in to WildHub, because we opted to be a community that shares information, tools and solutions more widely and for free. That content should also appear in Google search. However, if any of our members would like to post content to other WildHub members only, they can get in touch via hello@wildhub.community. There are two options, 1) setting the content that you want to post or have posted as "member exclusive" or 2) creating a private closed room, where only people who have been invited to that room will be able to view the content and comments in that room.

  • Contributing and collaborating: To be able to interact on WildHub, (for example post content, comments and questions, etc.), you need to be registered as a member and logged in. 

  • Following a member: Following is a great way of making sure you don’t miss out on the expertise that matters to you. By following a member, you will be notified by email whenever they create content or start a conversation. What’s more, they will be notified by email when you follow them so it’s a great way to introduce yourself! Wherever you see a member’s avatar, you can either click on the “follow” button alongside it or click on their avatar to be taken to their profile page, on which you will find a “follow” button. If you don’t want to be notified by email when you are followed, you can opt-out of this email in Notification Preferences in the Account Settings section.

  • Video panel and conferencing recordings: When taking part in video panels or live sessions, these may be recorded so that other members are able to watch the content later on, you will be notified about this at the beginning and you can opt out by asking the host to pause the recording or leaving the panel. When you set up a video panel yourself (go to ‘collaborate’ at the top of the site and click on ‘host a video panel’), you can switch on or off the recording setting.

Notification emails

When you become a member of WildHub, certain email notifications are switched on (an overview is provided below). With exception of invitation and account administration emails, you can opt out of these email notifications via your Notification Preferences. To edit your email notifications, visit the Account Settings page under your avatar to the top right of the site. Scroll down and click on Notification Preferences; when the toggle is coloured blue the notification is on, when the toggle appears grey the notification is switched off.

Notification emails will help you get the best from our site. Here is a rundown of the various types of notification emails. 

Invitation emails are sent to individuals when they are invited to join WildHub, a specific room on WildHub and/or are given access to training courses. 

Account administration emails will be sent to you when you need to verify your email address or would like to reset your password. 

You will receive content notification emails when: 

  1. Someone you follow publishes content (default: on)

  2. You are added as a contributor to content (default: on)

  3. Someone likes content you created (default: off)

  4. Someone likes content to which you are a contributor (default: off)

  5. Someone shares content you have created with other members (default: on)

You will receive commenting notification emails when: 

  1. Someone comments on content you created (default: off)

  2. Someone comments on content to which you are a contributor (default: off)

  3. Someone replies to a comment you made (default: on)

  4. Your comment is deleted by a moderator* (default: on)

You will receive Networking notification emails when:

  1. Someone accepts an invitation you sent (default: on)

  2. Someone follows you on WildHub (default: off)

  3. Someone invites you to join a video panel (default: on)

  4. A new expert or other important user joins the network (default: off)

  5. You are invited to join a room as a contributor (default: on)

  6. You are invited to join a room as a member (default: on)

You will receive Q&A notification emails when:

  1. Someone answers your question (default: on)

  2. Someone asks a question that you are invited to answer (default: off)

WildHub newsletters

We provide two types of newsletters, your digest newsletter and a highlights newsletter. For your digest you determine the content of this newsletter, while the highlights newsletter are editor's picks. 

You can change the content and frequency settings of your digest under the Accounts Settings page (under your avatar to the top right of the site). Scroll down and click on 'Tailor Digest', you can then indicate whether you would like to receive your digest newsletter on a daily, weekly or monthly basis or turn it off (indicated by a grey toggle). Below the digest frequency, you determine the content of your newsletter by selecting the channels and rooms you'd like to feature in your digest email. 

You can opt-in for the highlights newsletter by visiting the Account Settings page under your avatar to the top right of the site. Scroll down and click on 'Notification Preferences'. Under Newsletters you can turn on/off the highlights newsletter, which are round-ups of expertise from WildHub. 

Storing your data

We ensure that any personal data we collect that needs to be stored is securely kept. We control who has access to your information, follow data protection policies and procedures, and ensure our staff receive data protection training.

WildTeam will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information.

WildTeam and Zapnito will store all the personal information you provide on its secure servers. When your data is stored by us or our secure suppliers, we will ensure that we are doing so in accordance with the law. The length of time your data is stored for depends on the purposes for which it was collected and recorded. 

Cross-border data transfers

Information that WildTeam via WildHub collects may be stored and processed in and transferred between any of the countries in which WildTeam operates to enable the use of the information in accordance with this privacy policy.

In addition, personal information that you submit for publication on the website will be published on the internet and may be available around the world.

You agree to such cross-border transfers of personal information.

Updating this statement

WildTeam may update this privacy policy by posting a new version on this website.

You should check this page occasionally to ensure you are familiar with any changes.
